Objectives

  • Operationalize the Accountability Tracker so completed TickTick tasks trigger AI coach follow-ups and progress updates.
  • Build dashboards that help students and AI orchestrators visualize progress across wealth areas, action item throughput, and habit streaks.
  • Establish reflective feedback loops after each session cycle to reinforce learning and identify blockers.
  • Expand analytics instrumentation to power retention, engagement, and AI coach effectiveness metrics.

Functional Scope

Task Monitoring & Nudges

  • Subscribe to TickTick webhooks or implement polling to detect task completions, due date shifts, and overdue items.
  • Trigger tailored nudges (email, in-app notifications) from the Accountability Tracker based on AI coach persona tone.
  • Allow students to provide quick reflections when marking tasks complete (what went well, obstacles, confidence rating).
  • Surface aggregated status in the /coach/home dashboard with per-wealth-area breakdowns and streak indicators.

Progress Dashboards

  • Build student-facing dashboards featuring completion rates, time-to-complete, AI coach usage distribution, and wealth area focus.
  • Provide AI orchestrator/admin dashboards with cohort-level insights, top blockers, and high-performing tactics.
  • Implement filters for date range, wealth area, AI coach persona, and task tag.
  • Support exporting reports (CSV/PNG) for offline review and retrospective sessions.

Feedback & Retrospectives

  • Schedule periodic check-ins (weekly/monthly) that compile session summaries, completed tasks, and outstanding commitments.
  • Offer reflection templates for students to log learnings, with prompts tailored to their selected AI coaches.
  • Enable AI coaches to annotate reflections with advice or adjustments to upcoming sessions, while allowing human reviewers to provide oversight when needed.
  • Store feedback artifacts alongside session history for long-term tracking.

Analytics & Observability Enhancements

  • Expand data warehouse or analytics layer to include task events, nudge outcomes, and reflection submissions.
  • Configure alerting when integration failures spike, completion rates drop, or users go inactive for defined periods.
  • Introduce A/B testing hooks to experiment with different nudge cadences or messaging styles.

Technical Considerations

  • Ensure webhook security: verify signatures, retry on transient errors, and log outcomes for auditing.
  • Throttle notifications to prevent alert fatigue; support user-configurable quiet hours.
  • Store reflections as structured data to enable downstream analysis (e.g., sentiment, themes).
  • Respect privacy by allowing students to mark certain reflections as private (visible only to themselves).
  • Cache dashboard queries and consider pre-computing aggregates for performance.

Multi-Agent Workstream

| Agent | Responsibilities | Deliverables | | --- | --- | --- | | Accountability Tracker | Monitor TickTick events, trigger nudges, and manage notification rules. | Event consumers, notification templates, runbooks. | | Analytics Lead | Design dashboards, ETL pipelines, and experimentation framework. | Dashboard configs, metrics catalog, alert rules. | | Action Item Planner | Update task status models, incorporate reflections, and sync back to TickTick if changes occur. | Status update logic, reflection schema. | | AI Coach Experience Designer | Craft reflection prompts, AI feedback UI, and retrospective flows. | UX specs, content guidelines. | | DevOps Steward | Ensure webhook reliability, scaling, and incident response processes. | Monitoring dashboards, on-call playbooks. |

Exit Criteria

  • Task completions trigger timely nudges with AI coach-specific tone and appear in notification logs.
  • Students and administrators can view dashboards with accurate, filterable metrics for wealth areas and AI coach personas.
  • Reflection workflow captures student insights and AI coach responses (plus any human oversight notes), storing them alongside session history.
  • Alerting in place for integration failures, inactivity, and unusual task completion trends.
  • Experimentation hooks validated with at least one nudge cadence test and analytics tracking results.

Risks & Mitigations

| Risk | Mitigation | | --- | --- | | Notification fatigue reducing engagement. | Implement intelligent batching, allow user preferences, and monitor unsubscribe rates. | | Data discrepancies between TickTick and local database. | Schedule reconciliation jobs, provide admin tools to resolve conflicts, and log anomalies. | | Sensitive feedback exposed unintentionally. | Add privacy controls, audit access, and encrypt sensitive notes at rest. | | Dashboard performance issues with growing data volume. | Use materialized views, incremental ETL, and caching/CDN strategies. |

Dependencies & Notes

  • Requires Phase 3 session data, action items, and summary timelines.
  • Coordinate with legal on notification consent and data retention for reflections.
  • Align with marketing/communications on tone and branding for nudges.
  • Feed analytics outputs to Phase 5 team for automation experiments and long-term planning.
