The 5 Steps
1. Capture
Collect everything that has your attention in a trusted external system. Nothing should be left in your head.
2. Clarify
Process what you've captured. Ask "Is it actionable?" If no, trash it, file it for reference, or incubate it.
3. Organize
Put information in the right places for easy retrieval. Use categories: Projects, Next Actions, Waiting For, Someday/Maybe.
4. Reflect
Review your system regularly (weekly review). Keep everything current and fresh.
5. Engage
Use your trusted system to make action choices with confidence.
The 2-Minute Rule
If it takes less than 2 minutes to do, do it immediately rather than organizing it.
